4. WHO THIS POLICY APPLIES TO

This Privacy Policy applies to individuals who interact with Wildseed Cafe in any capacity, including diners, reservation holders, wedding and event clients, workshop participants, loyalty-programme members, newsletter subscribers, suppliers, business partners, job applicants, website visitors, and individuals communicating with our teams online or offline.

This Policy also applies to individuals captured on CCTV systems within our premises, as well as guests who may appear in photography or videography conducted during events, weddings, workshops, launches, activations, or other experiences hosted at Wildseed Cafe locations.

The categories of personal data collected by Wildseed Cafe depend on how you engage with our venues, websites, reservation systems, events, and services.

This may include identity and contact information such as your name, salutation, title, date of birth, nationality, gender, residential or business address, postal code, email address, mobile number, and other contact details provided by you.

Where necessary and permitted by law, we may also collect identity-document information such as NRIC, FIN, passport details, or other identification records for purposes relating to verification, invoicing, event administration, licensing, or legal compliance. Full NRIC numbers are not collected or retained unless required under Singapore law.

For reservations, dining experiences, weddings, workshops, and private events, we may collect reservation details including booking dates and timings, party size, table preferences, occasion details, guest counts, budget ranges, event requirements, vendor preferences, and any notes or requests submitted to our team.

We may also collect dietary requirements, allergy information, accessibility requests, and other health-related preferences voluntarily provided by you to facilitate guest safety and service quality. By providing such information, you consent to our use of that information for those purposes.

Financial and transaction-related information may also be collected, including billing addresses, deposits, refunds, invoices, transaction records, and payment details necessary to process purchases and reservations. Payment-card information is generally processed securely through third-party payment providers, and we do not directly store full card details on our systems.

Where applicable, we may collect information relating to the 1-Insider loyalty programme, including membership status, points balances, redemption activity, transaction history, communication preferences, feedback, and customer preferences associated with your membership account.

Marketing and communications information may also be collected, including subscription preferences, communication channels, language preferences, opt-in and opt-out history, and engagement information relating to newsletters, promotional emails, advertisements, campaigns, and customer communications.

When you interact with our websites or digital platforms, certain technical and behavioural data may be collected automatically, including IP address, browser type and version, operating system, device identifiers, referral URLs, website activity, pages viewed, search behaviour, navigation patterns, and the dates or times of website visits.

We may additionally collect attribution and analytics information through cookies, pixels, scripts, tags, SDKs, and related technologies used for website analytics, customer insights, and marketing-performance tracking.

Wildseed Cafe locations may also operate CCTV systems for purposes relating to venue security, safety, incident investigation, loss prevention, operational monitoring, and the protection of guests, employees, and property.

Photography and videography may also take place during dining experiences, workshops, launches, weddings, private functions, activations, and other events held at our venues. Such content may be used for marketing, editorial, advertising, social media, and promotional purposes where appropriate.

For recruitment and employment-related purposes, we may collect applicant information including resumes, employment history, educational qualifications, references, interview notes, work authorisation information, and information obtained through recruitment agencies or publicly available professional platforms such as LinkedIn.

We may also retain records of communications and interactions between you and our teams, including emails, phone calls, WhatsApp messages, reservation enquiries, customer-support communications, reviews, complaints, survey responses, feedback submissions, and event-planning discussions.

Wildseed Cafe websites, reservation forms, and loyalty programmes are not intended for children under the age of 13, and we do not knowingly collect personal data from children through these channels. If you believe a child has submitted personal data to us without appropriate consent, please contact our Data Protection Officer.

6. HOW WE COLLECT PERSONAL DATA

We collect personal data directly from you when you make reservations, submit enquiries, attend workshops or events, participate in promotions, subscribe to newsletters, join loyalty programmes, communicate with our teams, complete forms, make purchases, or otherwise interact with Wildseed Cafe online or in person.

We may additionally obtain personal data from third-party service providers, reservation platforms, loyalty-programme providers, payment processors, recruitment agencies, analytics providers, advertising partners, social-media platforms, and publicly available sources where permitted under applicable laws.

We use personal data to manage reservations, guest experiences, dining services, events, weddings, workshops, customer enquiries, loyalty programmes, and venue operations across Wildseed Cafe locations.

Personal data may also be used to process transactions, manage billing and refunds, send reservation confirmations, provide customer support, personalise guest experiences, improve operational efficiency, administer promotions, conduct analytics, and maintain venue safety and security.

Where permitted under applicable laws, we may also use personal data to send newsletters, promotional materials, event announcements, workshops, dining updates, seasonal campaigns, and marketing communications relating to Wildseed Cafe and participating venues.

We may additionally use personal data to comply with legal obligations, licensing requirements, tax and accounting obligations, regulatory requests, dispute management, fraud prevention, cybersecurity monitoring, and the protection of our legal and commercial interests.

8. ACCESS AND CORRECTION OF PERSONAL DATA

Under the PDPA, we may only collect, use, or disclose personal data with the individual’s consent unless an exception applies under applicable Singapore laws. The legal bases on which we rely are set out below.

Where we request your consent, such as when you subscribe to marketing communications, submit reservation or event enquiries, or join the 1-Insider loyalty programme, we will use your personal data for the purposes communicated to you at the point of collection.

Deemed Consent

In certain situations, consent may be deemed to have been given under the PDPA. For example, where you voluntarily provide personal data for an obvious purpose, such as providing your mobile number for a reservation confirmation, you are deemed to have consented to the use of that information for that purpose.

We may also rely on deemed consent by notification under Section 15A of the PDPA for certain operational or secondary purposes that are reasonably necessary for our business activities, where appropriate notice and opt-out opportunities have been provided.

Legitimate Interests

We may rely on the legitimate interests exception under the PDPA where our legitimate business interests in operating, managing, securing, and improving Wildseed Cafe are not outweighed by any adverse effect on individuals.

This may include fraud prevention, cybersecurity monitoring, venue security, CCTV operations, internal reporting, analytics, service improvements, operational management, and protecting our legal and commercial interests.

Business Improvement

We may also rely on the business-improvement exception under the PDPA for internal analyses and operational activities intended to improve our services, customer experiences, marketing effectiveness, venue operations, and business performance across Wildseed Cafe locations.

Aggregated or anonymised information may also be used for these purposes where appropriate.

Legal Obligations and Vital Interests

Withdrawing Consent

Withdrawal of consent does not affect the legality of any collection, use, or disclosure carried out prior to the withdrawal request. Please note that if consent is withdrawn for certain purposes, we may be unable to continue providing certain services, memberships, or experiences to you.

Access and Correction Requests

Subject to applicable laws and legal exceptions, you may request access to personal data we hold about you, request information regarding how your personal data has been used or disclosed, or request corrections to inaccurate or incomplete personal data.

9. HOW WE SHARE PERSONAL DATA

We may share personal data within Wildseed Cafe and participating 1-Group venues where necessary for reservation management, customer support, loyalty programmes, operational coordination, analytics, marketing, and guest-experience purposes.

We also engage third-party service providers and data intermediaries to process personal data on our behalf and under contractual arrangements. These service providers support functions including reservations, events, loyalty programmes, payment processing, cloud hosting, analytics, communications, recruitment, customer relationship management, cybersecurity, CCTV operations, and IT support.

These providers may include platforms and partners such as SevenRooms, Tripleseat, Eber, Stripe, Google Cloud, Amazon Web Services, Vercel, Supabase, Google Workspace, Slack, Google Analytics, Google Ads, Meta, TikTok, CRM providers, review-management tools, recruitment agencies, and professional advisers including lawyers, accountants, consultants, auditors, and insurers.

We require our service providers and data intermediaries to process personal data only in accordance with our instructions, maintain appropriate security safeguards, and comply with applicable PDPA obligations.

We may also disclose personal data to regulators, courts, law-enforcement agencies, government authorities, or other public agencies where required or permitted by law.

In certain circumstances, personal data may also be disclosed to prospective or actual investors, financiers, buyers, advisers, or related parties in connection with mergers, acquisitions, financing exercises, restructuring activities, or other corporate transactions involving Wildseed Cafe or related entities.

We do not sell personal data to third parties, and we do not rent or provide customer or membership databases to third parties for their own independent marketing purposes.

10. OVERSEAS TRANSFERS OF PERSONAL DATA

Reservation and customer records may be retained to support guest experiences and customer-service operations. Financial and transaction records are retained in accordance with applicable tax and accounting obligations. CCTV footage is generally retained for a limited period unless required for investigations or legal proceedings. Recruitment records may be retained for future employment opportunities unless deletion is requested earlier.

When personal data is no longer required, it will be securely deleted, anonymised, or disposed of appropriately.

12. PROTECTION OF PERSONAL DATA

We implement reasonable administrative, technical, and physical safeguards to protect personal data against unauthorised access, misuse, disclosure, loss, alteration, or destruction.

Marketing emails relating to Wildseed Cafe, dining experiences, events, promotions, workshops, and seasonal campaigns may be sent where you have provided consent or where otherwise permitted under applicable laws.

SMS, Telephone Calls and DNC Compliance

15. CCTV AT OUR VENUES

CCTV systems operate within our premises for purposes relating to safety, security, incident investigation, operational monitoring, and loss prevention. Appropriate signage may be displayed within our venues, and access to CCTV footage is restricted to authorised personnel only.

16. PHOTOGRAPHY & VIDEOGRAPHY AT EVENTS

Photography and videography may take place during dining experiences, workshops, weddings, launches, private events, activations, and other activities held at Wildseed Cafe locations.

Images and video recordings may be used for social media, editorial, marketing, advertising, and promotional purposes where appropriate. Guests who prefer not to appear in published content may inform our team or contact our Data Protection Officer.

17. JOB APPLICANTS

Personal data submitted during recruitment processes will only be used for recruitment, hiring, onboarding, employment administration, and related purposes.

We may retain recruitment records for future employment opportunities unless deletion is requested earlier by the applicant.

We do not rely solely on automated decision-making in assessing employment applications.

18. YOUR RIGHTS UNDER THE PDPA

Subject to applicable laws and regulations, you may request access to your personal data, request corrections to inaccurate information, withdraw consent for certain uses of your personal data, or enquire about how your information has been used or disclosed.
